How to operate a single source of truth for sales and marketing assets

A single source of truth is not created by putting files in one folder. Teams must decide which document is the current approved explanation, who may change it, and when derivatives require review. Operating ownership comes before link technology.

Give every document an owner and state

Assign an owning team and approver to product descriptions, pricing sheets, proposals, and partner kits. Distinguish draft, in review, current public version, and retired material. Let only the current public version act as the distribution source.

Record the meaning of a change, not only a version

Instead of merely increasing a filename number, record what changed, why, and who is affected. For material changes to price or support scope, include the action required from sales and partners. Mark retired versions against reuse.

Connect derivatives to the controlled source

Record which source produced each slide sequence, mobile summary, video, and email message. When the source changes, review affected claims and figures first rather than automatically recreating everything.

Operating checklist

  • Does every public document have an owner and approval state?
  • Does the distribution link point to the current version?
  • Are change reasons and affected audiences recorded?
  • Can derivatives be traced to their source?
  • Were retired copies and caches checked?

A living link can deliver a controlled source, but without approval and change records it can also spread confusion faster.
